This Privacy Policy explains how Trackr ("Trackr," "we," "us") collects, uses, and protects information when you use our mentorship platform. By using Trackr you agree to the practices described here.

Information we collect

We collect information you and your organization provide to operate the platform, including:

• Account information: name, work email, role, and the workspace you belong to.
• Program data: mentor and mentee profiles, pairings, meeting logs and notes, and goals you record.
• Usage data: basic technical information such as sign-in events and activity needed to keep your account secure.

How we use information

We use this information to provide and improve the service: maintaining your workspace, tracking meetings and goals, generating program insights, flagging inactive relationships, and supporting your account. We do not sell your personal information.

AI processing

Trackr uses AI to turn meeting notes into summaries, to suggest how a mentoring relationship is progressing, and to transcribe spoken summaries when a mentor records one instead of typing.

Meeting notes are sent to Anthropic to produce those summaries. A mentee's name is replaced with an identifier before the notes are sent, but the notes go as the mentor wrote them, and any names a mentor typed into the text are included. When a mentor records a spoken summary, the audio is sent to OpenAI to be transcribed; Trackr does not keep the recording.

Neither Anthropic nor OpenAI uses this data to train their models. OpenAI keeps request logs for up to 30 days for abuse monitoring.

Data isolation

Trackr is multi-tenant. Each workspace's data is isolated from every other workspace. Members of one organization cannot access another organization's data.

Data sharing

We share data only with service providers that help us operate Trackr (hosting, email delivery, and the AI providers described above) and only as needed to run the service. We may disclose information if required by law.

Data retention

We retain program data for as long as your workspace is active. Your organization's administrators can request an export, or deletion of workspace data from Trackr.

Deleting data from Trackr does not retract notes that have already been sent to our AI providers for processing. Those are held under the providers' own retention terms, and Anthropic does not support deletion of individual API requests.

Security

We protect your data with industry-standard measures including encryption in transit, hashed passwords, and role-based access controls. No system is perfectly secure, but we work to safeguard your information.

Your rights

Depending on your location, you may have rights to access, correct, or delete your personal information. Contact your workspace administrator or reach us at the address below.
